Not every journey is complicated — but the quoting can be, if a few key details are missing.
At driven.travel, we coordinate private transport through a trusted network of licensed operators. That means we can often help with airport transfers, cruise port travel, business journeys, day hire and special events — but the quality of the match depends on the information we start with.
Below is our 60-second booking checklist. Use it when you submit an enquiry and you’ll get a clearer, faster quote — with fewer surprises on the day.
1) The route basics (sounds obvious, but it’s the #1 cause of delays)
Please provide:
- Pickup address (full address + postcode)
- Drop-off address (full address + postcode)
- Any intermediate stops (even “quick ones”)
- Parking/entry notes if relevant (e.g., hotel concierge, business reception, cruise terminal zone)
For a PA or EA, that means less guesswork and fewer last-minute changes. It also means your traveller is more likely to have the journey experience they expect — calm, comfortable and well organised.
2) Date and time (and whether it’s “must arrive by”)
Please provide:
- Travel date
- Pickup time (or “arrive by” time if it’s a meeting/flight/cruise check-in)
- If it’s a return, your preferred return time (or window)
If you’re travelling to an airport or cruise terminal, “arrive by” is often more useful than a fixed pickup time — because it gives the operator room to plan around traffic.
3) Passenger numbers and group make-up
Please provide:
- Total passengers (adults/children)
- If there are multiple parties meeting en-route (helpful for large MPVs)
- Any mobility needs (walking aids, foldable wheelchair, extra boarding time)
This isn’t about formality — it’s how we ensure you get the right vehicle and the right support.
4) Luggage: the detail that makes or breaks comfort
Please provide:
- How many large suitcases
- How many cabin bags
- Any “awkward” items (golf clubs, skis, pram, instrument cases)
Two journeys can look identical on paper — but luggage can change the vehicle requirement completely. Sharing this up front prevents disappointment.
5) Flight / train / ship details (if relevant)
Please provide:
- Flight number + landing time (and which terminal)
- Train station + arrival time
- Cruise ship + port + embark/disembark time
If you include the flight number, the operator can track delays and plan the pickup properly — it’s one of the easiest ways to reduce stress.
6) Meet & Greet preferences (especially at airports)
Please tell us whether you want:
- Meet & greet in Arrivals (name board)
- Kerbside pickup (where permitted)
- A call/text on landing
- Extra waiting time (if you expect a slow exit)
7) The “non-negotiables”
Please include anything that would change the plan, such as:
- A fixed appointment time
- Child booster seat requirement
- Quiet car / no calls
- A particular vehicle style (where available)
These are the details that turn a basic booking into a properly managed journey.
